Who are we?

IWP Training is a registered training organisation (RTO) that specializes in workplace and HRW licensing training and assessment. Most students are adults, with a very small number of students under 18. IWP Training do not deliver VET in Schools training courses.IWP Training Identification code is 91671.

IWP Training deliver quality training and assessment to all our students. We seek to understand students’ needs and assist students in achieving their outcomes. Your student handbook Whilst doing your training and assessment with IWP Training, it is important that you are fully informed on what is expected from you and what you can expect from us. This student handbook provides everything you need to know about your course, Please take the time to read your student handbook before you start your course and use it as a reference for any questions you may have regarding your training. If there is something you cannot find in this handbook, please do not hesitate to talk to your trainer or IWP Training staff directly at any time.

Course information

You will be provided with important details about your potential course including details regarding how you will be trained and assessed.

This includes:

• Delivery modes and methods • Topics covered in the course • Key projects and assessments • Sample of assessments and • The level of work required

Language, literacy, and numeracy.

Each course requires differing capabilities when it comes to:

• Capacity for independent learning • Reading comprehension • Communicating in a written form • Communicating orally

Your language, literacy and numeracy skills will be assessed by IWP Training for the purpose of ascertaining the likely ability for you to cope with the requirements of the course you are planning to enrol in. Your LLN Assessment may be by: • Pre course Interview to formally assess spoken English skills • A pre course short written comprehension test, using content from the course. In the event you are deemed not to have sufficient language, literacy, and numeracy skills to satisfactorily complete the course, advice on acquiring these skills will be offered to you

Application and Enrolment procedures Once you have decided what course is right for you, we will require you to complete a course application and if your application is successful, enrolment on the relevant course will be the next step. The application and enrolment processes require IWP Training to capture your personal details. Personal information is maintained in accordance with IWP Training Privacy and Confidentiality policy.

Student fees

IWP Training will publish course fees on its website and fees are available by enquiry when contacting the IWP Training administration.

Course fees policy

• The fee payment schedule for publicly offered courses and courses paid for by employers will be in accordance with the RTO Standards for NVR Registered Training Organisations. • The RTO will not charge learners more than $1500 in advance of training services provided at any given time. If you have extenuating circumstances that prevent them from attending scheduled course dates that may include but are not limited to illness, family or personal matters, or other reasons that are out of the ordinary.

Where you can provide evidence to support your circumstances, course fees may either be transferred to the next available course where applicable, or a refund of unused course fees will be issued.

This decision of assessing the extenuating circumstances rests with IWP Training CEO and shall be assessed on a case-by-case situation.

Unique student identifier (USI)

The USI will allow all your training records and previous qualifications that are entered in the national    vocational education and training (VET) data collection, to be linked. 

The USI will make it easier for you to find, collate and authenticate your training achievements into a single transcript. It will also ensure that your records are not lost.

The USI enables you to provide the RTO with access to an online authenticated record of your attainment to assist with the recording of enrolment details.

We will ask if you currently have a USI. If you don’t have a USI, we will provide you the information you need to create your own USI.

Alternatively, you may give the RTO authorisation to apply for one on your behalf. In that instance, you will be required to provide us with a valid driver’s license plus current Medicare card or Passport.

Once a USI has been issued, it will automatically be allocated to all the training you undertake with us.

Access & equity IWP Training encourages students with disabilities to apply for our courses. IWP Training is committed to access and equity principles and processes in the delivery of its services and working environment in accordance with State and Australian Government legislation. IWP Training trainers, assessors and staff help all clients to identify and achieve their desired outcomes. committed to providing training and assessment services to all clients regardless of age, race, religion, sex, socio-economic status, ability, language, literacy or numeracy (LLN). IWP Training trainers, assessors and staff follow the principles of fairness and flexibility in training and assessment. Special student needs will be identified through:

• Initial contact with IWP training administration • Receipt of enrolment form, and • During information sessions, prior to the commencement of training and or assessment

IWP Training have programs that are designed and, wherever possible, facilities set up to enhance flexibility of delivery to maximize the opportunity for access and involvement by disadvantaged students. Recognition of prior learning (RPL) If you have any previous qualifications or significant experience in the industry of your potential course, you may be eligible for Recognition of Prior Learning (RPL). This is where we review your current skills and qualifications and identify if you already have sufficient competency in any of the units for your potential course. If so, we can assist you in completing an RPL application, which will save you from having to complete the normal delivery activities for the relevant units.

Training recognition model The processes used to assess Recognition applications received by the RTO involves participation in the same or modified versions of the assessment you would be required to complete as part of the full course. The Recognition process is as follows:

Methods of gathering RPL evidence

Direct Evidence – where an assessor observes the applicant’s actual performance in a workplace. The assessor will make a judgement about whether the applicant is competent in the skills and knowledge required for each unit of competence.

Indirect Evidence – where evidence is provided and submitted by the applicant. This may include work samples and documents produced by the applicant, e.g. reports, materials and products, previous certificates and qualifications and documented work history

Supplementary Evidence – evidence that allows the assessor to make further judgements on the applicant’s competency.

• Competency conversation. • Completing Workplace in-house training • Workplace documents that you have completed • Workplace experience • Testimony from work supervisor or manager • Self-assessment reports

Note: IWP Training adopt indirect and Supplementary evidence RPL assessment method

  1. Once the application is approved and you decide to proceed with the RPL
  2. The RPL assessor will arrange for an interview with you and go through the RPL assessment plan to determine whether you are ready to proceed with the RPL process
  3. You will be required to provide valid evidence on knowledge and skills for the UOC RPL you are applying for that you have completed on 3 occasions within the last 3 years
  4. You will be required to complete a Competency conversation. Decision to grant you RPL will be based on your performance in the competency conversation

Reasonable adjustments

We recognise the need to make reasonable adjustments within the RPL process to meet your individual needs. If you need to speak confidentially to someone about your individual needs, please contact your RTO. Attempt at competency If, for any reason you have been deemed not yet competent after your initial assessment submission for a given subject, your assessor will provide additional learning support and feedback, including identifying the areas which require further development. You are allowed 2 further re assessments for competency for this subject. If you are deemed not yet competent after 2 re assessments, your assessor will provide additional training on the demonstrating gaps in your evidence to demonstrate the required skills, knowledge and competencies required for competency. Trainers/assessors are available for consultation if you wish to discuss your responses before submission.

Cheating IWP Training is committed to quality training and assessment and will not tolerate cheating at any level. As there are varying degrees of cheating, each suspected case will be adjudicated individually.

Confirming authenticity

• You are required to sign your assessment records stating the work submitted is your own. • If an assessor suspects that cheating has occurred, the assessor is to immediately bring the matter to the attention of IWP Training CEO. • IWP Training CEO will address the matter directly with you to determine the severity of the cheating. • If the matter is deemed as a ‘low’ severity you will be counselled and given the opportunity to make corrections to the submitted work. • If the matter is deemed to be a ‘high’ severity IWP Training CEO can make a decision on whether dismiss you from further participation in the training and assessment. • All matters of cheating are to be treated confidentially. • Outcomes are to be recorded in your individual file.

Student work retention

IWP Training administration staff will ensure that all student records relating to your participation in training, assessment and related services are maintained in an accurate manner.

IWP Training administration staff will adhere to the ASQA General Direction Retention requirements for completed student assessment items:

All physical student records will be retained for a term no less than three (3) years after their completion, including enrolment information, completed student assessments where the student has been deemed competent in that unit.

All records of student’s attainment of competency and qualifications will be retained electronically via AVETMISS compliant database for a term no less than thirty (30) years after their completion.

IWP Training administration staff will create and store securely an AVETMISS compliant data file at least annually containing the following information:

• Student surname and given name • Student last known postcode • Student date of birth • Enrolment date • Qualification/Course code and title • Unit codes for each unit commenced • Unit outcomes for each unit commenced • Credential awarded (Statement of Attainment) • Date credential issued • Credential number

IWP Training CEO will be advised in writing at least one week in advance of before any records are to be destroyed. Records will be made available for audit purposes.

IWP Training comply with all laws relating to record keeping:

• Public Records ACT 1973 • Record keeping requirements under the Standards for NVR Registered Training Organisation 2025 - Division 2 – Integrity of Nationally Recognised Training Products - 10 Records of AQF certification documentation and assessments

Records management

• IWP Training is committed to implementing best practice in its records management practices and systems. • IWP Training Administration staff will be required to apply themselves to the following procedures and safeguard confidential and personal information according to the Australian Privacy Principles (Privacy Act 1988).

What information will IWP Training collect?

Personal information that may be collected and will be held confidential on our database could include:

• Student details such as address, telephone number, and the name and address of any other contact person such as partner or parent, and information such as birth date • Any essential medical information for the purposes of identifying and providing services, for example information about disability • Information in relation to student selection process and outcomes, enrolment details and outcomes of training Ensuring confidentiality

To maintain confidentiality and privacy of information:

• You may access your personal information in line with these procedures and the records procedures outlined above • Folders and files containing confidential information will only be accessible to authorised users • No public access or unauthorised access to the office computers will be allowed.

Collecting, handling, and using information

In collecting, handling, and using personal information IWP Training will:

• Only collect personal information directly related to the service delivery or your participation, and will treat it as confidential • Inform you of the nature of the information held by IWP Training and how it is to be used • Not disclose any information we hold to third parties without written consent unless the disclosure is required or authorised by law, except in emergencies • Obtain written informed permission prior to any photographic, video, or other identifying images of students being taken and used, for example in marketing materials • File written permission in the relevant personal file, and abide by all conditions imposed • Allow you to view your own records, personal file, portfolio of work and any personal information held (with supervision by the training manager or delegate) and amend any incorrect records • Inform you about your obligations under privacy legislation through the student handbook and these procedures • Treat any breaches of confidentiality and privacy seriously, supporting you to access our complaints mechanisms • Inform relevant parties and regulators of any breaches of this policy as a matter of priority

IWP Training uses information collected to:

• Perform administrative tasks • Inform you about our services or those of other organisations • Develop products and services that may be of help to you • Comply with the requirements of regulatory and registering bodies • Assist in the resolution of complaints and appeals. IWP Training provides access as follows:

• Anyone about whom we hold personal information may request access to the information we hold. This must be done in the presence of an IWP Training staff member who will allow records to be copied but not removed. You may also request us to amend this information if our records are inaccurate • Only upon receipt of written consent by a you, IWP Training will provide a third party with your personal details. • Access to student records may be provided where the Standards for Registered Training Organisations or an officer of the law require IWP Training to do so.

Competency issuance

IWP Training CEO shall ensure competences issued by IWP Training are those that are currently on its scope of registration and certify the achievement of the relevant AQF statements of attainment.

Competency issuance procedure

• As soon as practical after the confirmation of competency IWP Training administration staff will formalise competency by issuing a statement of attainment. • Any delivery of training and assessment in a language other than English shall be noted on IWP Training statements of attainment. • Only IWP Training CEO shall have the authority to sign AQF statements of attainment. • Before signing AQF statements of attainment IWP Training CEO will ensure that these are in accordance with the Australian Qualifications Framework and RTO Standards for NVR Registered Training Organisations. • IWP Training CEO shall ensure that all AQF statements of attainment contain the identification of Units of Competency, National Codes or Accredited Course Codes, and IWP Training Provider Number.

Rights & responsibilities

As a student you have a right to:

• Be treated fairly and with respect from all the RTO team members • Learn in an environment free from discrimination and harassment • Pursue your vocational training goals in a supportive environment • Have access to student support • Privacy concerning records or documents that contain personal information • Apply to have your existing skills and knowledge recognised • Have access to assessment results and progressive outcomes • Lodge a complaint or appeal without fear of any repercussions

Commitment to students under the age of 18 safety

• All students under the age of 18 who undertake training and assessment with IWP Training have a right to feel and be safe. • IWP Training is committed to the safety and well-being of all young people accessing IWP Training and the welfare of the young people in IWP Training care will always be an IWP Training priority. • IWP Training aim to create a young person, safe and friendly environment where all young people are valued and feel safe. • IWP Training have zero tolerance of abuse, harm and racism. • All allegations and safety concerns are treated very seriously and consistently with IWP Training policies and procedures. • IWP Training have legal and moral obligations to contact authorities when we are worried about the safety and wellbeing students under the age of 18

Your responsibilities

• Treat IWP Training, trainers /assessor and administration staff with respect and fairness • Take ownership of your role as a learner • Submit assessment items by the due date or seek approval for an extension • Submit assessment items that are your own. • Attend scheduled training sessions • Notify your trainer if intending to suspend or withdraw from your training program

Harassment

Harassment is unlawful under Australian Government and State legislation and all harassment, bullying and victimisation are contrary to the duty of care to provide a safe environment for work and learning. Harassment, victimisation, and bullying can take many forms. It can be overt or subtle, direct, or indirect.

IWP Training will not tolerate any harassment, victimisation, bullying or any such conduct that has the purpose or effect of interfering with an individual’s work performance, or creating an intimidating, hostile, or an offensive learning environment.

This includes harassment, victimisation, bullying because of sex, race, national origin, religion, disability, sexuality, or age.

Examples of harassment may include:

• Unwelcome physical contact • Repeated unwelcome invitations • Insulting or threatening language or gestures • Continual unjustified comments about a student’s work or work capacity • Jokes and comments about someone’s ethnicity, colour or race • Pictures, posters, graffiti, electronic images, which are offensive, obscene, or objectionable

Examples of victimisation may include:

• Unfavourable treatment like aggression • Refusing to provide information to someone • Ignoring a person • Mocking customs or cultures • Lower assessment of student work

Examples of bullying may include:

• A person who uses strength or power to coerce others by fear • Behaviour that intimidates, degrades, or humiliates a person • Aggression, verbal abuse, and behaviour which is intended to punish • Personality clashes and constant ‘put downs’ • Persistent, unreasonable criticism of student work performance • Student violence both physical and threatened against trainers and assessors

You should be aware that differing social and cultural standards may mean behaviour that is acceptable to some may be perceived as offensive to others. Such conduct, when experienced or observed, will be reported to IWP Training staff.

All complaints will be promptly investigated. The privacy of a student filing a report and the individual under investigation shall be always respected consistent with the obligation to conduct a fair and thorough investigation.

All students are expected to work in an atmosphere based on mutual respect for the rights and differences of everyone.

Disciplinary action may be taken against students who have been found to have harassed other students or IWP Training, trainers /assessor and administration staff.

IWP Training expects you to uphold to the spirit of this policy. Breaches of the policy will be a ‘misconduct’ or ‘serious misconduct’ which may result in your expulsion.

Student counselling services & support

• IWP Training offers diverse student learning and aims to identify and respond to the learning needs of all students. • You are encouraged to express your views about your learning needs at all stages of your learning experience from the initial course advice, application and enrolment stage. • We provide suitable resources to help you to identify your learning needs and provide trainers/assessors and staff with the required information for use in designing your training and assessment strategies. • When designing and adapting training and assessment products IWP Training will do its best to ensure they are relevant to industry needs. • IWP Training is committed to providing you the required support, advice, or assistance while training.

During the course you may be supported by:

• Training sessions • Email service • Telephone support • Special Needs Support Learning and study aids • Literacy • Numeracy • Reasonable adjustment • Monitoring of course progress

Reasonable adjustment

Reasonable adjustment refers to flexibility in assessment approaches to account for individual learning needs, while still adhering to the assessment requirements of the relevant training package or VET accredited course.

Whilst reasonable adjustments can be made in terms of the way in which evidence of performance is gathered, the evidence criteria for making competent/not yet competent decisions will not be altered in any way.

If you meet essential entry requirements, IWP Training must endeavour to make ‘reasonable adjustments’ necessary for you to complete your course work or demonstrate competency.

This may include adjusting the physical environment, your learning materials, or the manner that a theory test is completed. In most situations, as a student with a disability you will be able to tell the RTO what you need to be able to study. If necessary, IWP Training will also seek advice from disability areas within government departments or organisations that represent or provide services to people with a disability.

Adjustments may include:

Modifying educational premises

• Ensuring that classes are in rooms accessible to the person with a disability. • Ensuring that bathroom facilities are made available and are accessible to the person with a disability.

Modifying or providing equipment

• Enlarging computer screens • Provide learning material in students first language
• Providing specific computer software. (Text To Speech)

Changing assessment procedures

• Allowing for alternative examination methods such as oral exams • Allowing additional time for someone else to write an exam for a person with a disability • Allowing one-on-one assessment

Changing course delivery

• Providing study notes or research materials in different formats (Text to Speech) • Provide learning material in students first language • Allowing one-on-one training

Please note: Some Training Packages state there are mandatory skills that cannot be modified as a reasonable adjustment.

If there is no room for reasonable adjustment in a particular unit of competency IWP Training will discuss alternative with you.

Monitoring of course progress

• IWP Training will systematically monitor your course progress against your Training Plan and will provide counselling if it is deemed you are at risk of failing to meet your course progress requirements. • IWP Training will make contact via e-mail, SMS, or phone when you fail to attend scheduled classes and/or progress through your learning activities.

Workplace health and safety

IWP Training is committed to providing and maintaining a safe and healthy environment for the benefit of all students.

• The duty of care requires IWP Training to take all reasonable steps to reduce risk, including: • Provision of suitable and safe training environment • Provision of an adequate system of supervision • Provision of personal protective equipment • Provision of compliant and safe plant and equipment • Provision of safe work method statement for performance training and assessment • Implementation of strategies to prevent bullying and harassment • To help with students in need.

It is your duty of care to:

• Take reasonable care for your own health and safety • Take reasonable care for the health and safety of others • Cooperate with reasonably practical requirements IWP Training does to comply with WHS requirements • Wear personal protective equipment provided • Adhere to safe work method statement • Report any hazards to IWP Training, trainer/assessor or staff • Not ‘intentionally or recklessly interfere with or misuse’ anything provided by IWP Training for WHS.

National student outcomes survey

As part of your commitment to training you may be selected to participate in The National Student Outcomes Survey. This is a national survey of Vocational Education and Training (VET) students conducted after they complete their training. It collects on VET students’ reasons for training, their employment outcomes, satisfaction with training, and further study outcomes.

Who is included in the survey?

Students included in the survey are those who completed their training in the previous calendar year and have an Australian address as their usual address.

Who is doing the survey?

The National Centre for Vocational Education Research (NCVER) - a not-for-profit company owned by the State, Territory and Federal ministers responsible for vocational education and training. NCVER collects information and provides research on vocational education and training in Australia to governments, the training sector, industry, and the community.

Australian Government Department of Education and Training - the government department funding the survey. They will use the results to develop government policy to help employers and industry.

Young People Safety and Wellbeing Policy

Purpose The purpose of this policy is to ensure that the IWP Training team, trainers & assessors comply with outcome standards 2025 for NVR RTO standards - standard 4.3 and relevant legislative requirements to ensure the safety and wellbeing of students under the age of 18 who are undertaking training an assessment with IWP Training.

This policy serves to protect young students through our aim to identify, report and prevent where possible, any risk of abuse and/or harm caused. This policy ensures a strong commitment from the IWP Training team, management, trainers and assessors to ensure the safety and wellbeing of all students under the age of 18.

Scope

All IWP Training personnel are required to agree in writing to accept and act in accordance with this policy as part of IWP Training trainer/assessor/staff duty statement.

All students under eighteen (18) years of age who attend IWP Training have a right to feel and be safe.

Students under the age of 18 can be assured our training and assessment environments are safe and supportive settings where young people are protected, can feel respected, valued and encouraged to reach their full potential by:

• Taking a preventative, proactive and participatory approach on students under the age of 18 wellbeing and safety issues • Valuing and embracing the opinions and views of young people • Assisting young people to build skills that will assist them to participate in society • Are focused and act on the protection of young people from harm.

**RPL Policy **

The granting of Recognition of Prior Learning (RPL) and Credit /Credit Transfer will be established and maintained in accordance with the outcome standards for NVR RTOs instrument 2025 - Division 3 – Recognition of prior learning and credit transfer Standard 1.6, 1.7

Scope This policy applies to potential and current students seeking recognition of prior learning RPL competency/s of an individual that may have knowledge and skills acquired through formal, non-formal and Informal learning through work-related, experience, completing workplace in house non-accredited courses This policy ensures that: • All RPL tools and processes meet the principles of assessment (fair, flexible, valid and reliable) and rules of evidence (valid, sufficient, authentic and current) and meet the requirements of the appropriate Training Package or Accredited Course and are regularly reviewed • Prior to and during enrolment, individuals are informed of the RPL process so they can make an informed choice of whether to apply • There are clear processes for assessing individuals’ knowledge and experience where gap training and assessment may be appropriate. • There are clear procedures to support trainers and assessors conducting RPL assessments • Recognition of prior Learning must be structured to minimise the cost and time to applicants • Recognise competencies in accordance with the requirements of Training Packages or Curriculum documents.

IWP Training ensures that any applicant for Recognition of Prior Learning is provided with:

• Information about the competencies and performance criteria relevant to their Recognition of Prior Learning application. • Adequate information and support to enable the applicant to gather reliable evidence of competency. • Opportunities to obtain feedback on the evidence proposed prior to finalisation of the application. • Competencies for which RPL is being requested may have been developed through formal education and training, through work experience, training or through life experiences.

This policy is based on the following:

• Students must apply for RPL and/or Credit Transfers. • IWP Training grants RPL and/or Credit Transfers based on an application and assessment of the required evidence.

Procedure

Purpose:

Recognition of Prior Learning (RPL) is an assessment process that allows experienced individuals to gain a competency by recognising what students know and have done in the recent past. RPL provides an opportunity for students to gain recognition based on skills and knowledge recently gained through experience, as well as any training completed formally or outside of formal training arrangements. Recognition of Prior Learning for previous knowledge, skills and qualifications • The Recognition of Prior Learning (RPL) process is offered at a unit of competency level • Students must not commence a program thinking that RPL will be available when it is not. • A valid reason would be one where the length of time required for the student to undertake the RPL process would disadvantage the student over them completing the unit again through the mainstream training and assessment process.

Assessments via RPL must apply the Principles of Assessment Fairness: IWP Training RPL assessment processes must be transparent, free from bias, and consider the individual needs of all learners. IWP Training achieve this by applying the following:

• Ensuring individual student’s needs are considered in the assessment process. • IWP Training applying reasonable adjustments to consider the individual student’s needs. • IWP Training informs the student about the assessment process and provides them with the opportunity to challenge the result of assessment and be reassessed if necessary.

Flexibility: IWP Training RPL assessment methods and processes must be diverse and adaptable to accommodate different learning styles and individual circumstances IWP Training achieve this by applying the following: • Reflecting the student’s needs • Assessing competencies held by the student no matter how or where they have been acquired, and • Drawing from a range of assessment methods and using those that are appropriate to the context, the unit of competency and associated assessment requirements, and the individual.

Validity: IWP Training ensure that an assessment accurately measures what it intends to measure. IWP Training achieve this by applying the following: • Assessing against the unit(s) of competency and the associated assessment requirements that covers the broad range of skills and knowledge that are essential to competent performance • Assessing knowledge and skills that is integrated with the practical application • Assessment are based on evidence that demonstrates that a student can demonstrate required skills and knowledge in other similar situations, • Judgements of competence are based on evidence of student performance that is aligned to the unit(s) of competency and associate assessment requirements. Reliability: IWP Training ensure that all assessment consistently produces the same or similar results when repeated under the same conditions. IWP Training achieve this by applying the following: • Ensuring that evidence presented for assessment is consistently interpreted and assessment results are comparable irrespective of the assessor conducting the assessment. Methods of gathering RPL evidence Direct Evidence – where an assessor observes the applicant’s actual performance in a workplace. The assessor will make a judgement about whether the applicant is competent in the skills and knowledge required for each unit of competency. Indirect Evidence – where evidence is provided and submitted by the applicant. This may include work samples and documents produced by the applicant, e.g. reports, materials and products, previous certificates (all units must be equivalent to those being requested in the RPL process) and qualifications and documented work history Supplementary Evidence – evidence that allows the assessor to make further judgements on the applicant’s competency. • Competency conversation. • Completing Workplace in-house training • Workplace documents that you have completed • Workplace experience • Testimony from work supervisor or manager • Self-assessment reports

Note: IWP Training adopt indirect and Supplementary evidence RPL assessment method

Interview with the assessor: Once the application is approved and the candidate decides to proceed with the RPL process the next step involves is the RPL assessor will arrange for an interview with the candidate and go through the RPL assessment plan. The purpose of this step is to determine that the applicant is ready to proceed with the RPL process

Authenticating evidence All certification documentation provided in the RPL or Credit Transfer process must be authenticated by directly accessing the students USI transcript or contacting the issuing organisation to verify by email. Privacy and confidentiality As an RTO we undertake to keep all records in a secure and safe environment in accordance with regulatory and legislative requirements. Reasonable adjustments We recognise the need to make reasonable adjustments within the RPL process to meet your individual needs. If you need to speak confidentially to someone about your individual needs, please contact your RTO.

Appeals If students feel that they have been unfairly assessed, they can contact the RTO administration staff and ask for a complaint and appeal form. Information on the RTOs complaints and appeals process is noted on the form and in student’s handbook. If the RTOs internal complaints process has been exhausted students still feel the issue has not been adequately addressed student can contact:

Complaints and Appeals Policy Purpose The purpose of this policy is to outline the systems and processes for IWP Training to manage complaints and appeals fairly, efficiently and effectively and for ensuring that all complaints and appeals are acknowledged, assessed, recorded and result in continuous improvement. This document contributes to IWP Training maintaining Outcome Standards, Quality Area 2, Standards 2.7 & 2.8 of the National Vocational Education and Training Regulator (Outcome Standards for NVR Registered Training Organisations) Instrument 2025 Scope This policy applies to all adult, students’ and students under the age of 18, trainers/assessors, employers and all staff of IWP Training. Policy Statement • IWP Training is committed to resolving complaints within a reasonable timeframe and fostering a culture that recognises an individual’s right to complain. • Complaints are recognised as being part of IWP Training’s business of serving our students, including students under the age of 18 and stakeholders and improving service delivery. • People with a range of needs can easily complain and staff will actively assist them to navigate the complaints process. • Students have the right to request an appeal by an independent party at low or no cost to the student. • Outcomes of complaints are recorded and actioned as part of IWP Training’s commitment to continuous improvement.

Complainants will be notified, when:

• Their complaint or appeal is received • IWP training staff meets to discuss their complaint or appeal • A decision is announced regarding their complaint or appeal • Any action is taken to resolve their complaint/appeal by IWP Training or its trainers/assessor, or staff • Principles of natural justice and procedural fairness are followed at every stage of the complaint and appeal process by allowing anyone subject to a decision by IWP Training, or anyone who has allegations made against them, to a right to a hearing before a decision is made. • A complaint may be dismissed if IWP Training, after deliberation and investigation, has deemed it as upsetting, trivial or false. • Complainants who make repeated troublesome, false or trivial complaints may be referred to ASQA.

The policy ensures that:

• Students are invited to make complaints and appeal complaint outcomes and other decisions made by IWP Training • The views of each person involved in the complaint and/or appeals process are respected and no one involved in a complaint or appeal is discriminated against or victimised • A student’s enrolment is maintained during the complaint/appeal handling process • All parties involved in the management of a complaint/appeal keep matters confidential

Procedure

The complaints and appeals policy and procedure and applicable form is made available to all students, potential students, and employers by directly contacting IWP Training, through the IWP Training website, and within the student information handbook.

General Complaints:

Where possible all non-formal attempts shall be made to resolve the issue. This may include advice, discussions, and general mediation in relation to the issue and the complainant’s issue.

Any Trainer/assessor management or staff member can be involved in this informal process to resolve issues but once a complainant has placed a formal complaint / appeal the following procedures must be followed: Any student, potential student, or employer may submit a formal complaint to IWP Training with the reasonable expectation that all complaints will be treated with integrity and privacy.

There is no cost for accessing the internal complaints and appeals process.

• Complainants have the right to access advice and support from independent external agencies / persons at any point of the complaint and appeals process. • Any person wishing to submit a formal complaint or appeal can do so by completing the ‘Complaints and Appeals Form’ and state their case providing as many details as possible. • This form can be gained by contacting Student Administration at IWP Training, or through IWP Training website

All formally submitted complaints or appeals are submitted to Student Administration or directly to the IWP Training CEO. Complaints are to include the following information:

• Submission date of complaint • Name of complainant. • Nature of complaint. • Date of the event which lead to the complaint • Attachments (if applicable)

Once a formal complaint is received it is to be entered into the ‘Complaints and Appeals Register’ which is monitored by IWP Training CEO regularly. The information to be contained and updated within the register is as follows:

• Submission date of complaint • Name of complainant • Description of complaint / appeal • Determined Resolution • Date of Resolution

In the unlikely event that the complaint is not finalised within 10 calendar days, the IWP Training shall ensure that the complainant shall be provided reasons for the delay and will be regularly kept informed and updated of the progress of the matter.

• Once a decision has been reached IWP Training CEO shall be required to inform all parties involved of any decisions or outcomes that are concluded in writing. Within the notification of the outcome of the formal complaint the complainant shall also be notified that they have the right of appeal. • To appeal a decision IWP Training must receive, in writing, grounds of the appeal. Complainants are referred to the appeals procedure. • The RTO Manager shall ensure that IWP Training will act immediately on any substantiated complaint. • If the internal or any external complaint handling or appeal process results in a decision that supports the complainant, the registered provider must immediately implement any decision and/or corrective and preventative action that is required and advise the complainant of the outcome in writing. • Copies of all documentation, outcomes and further action required will be placed into the ‘Complaints and Appeals Register’ by Student Administration and on the student’s file / complainant’s file.

Appealing a Decision:

All complainants have the right to appeal decisions made by IWP Training where reasonable grounds can be established. The areas in which a complainant may appeal a decision made by IWP Training may include:

• Assessments conducted - Deferral, suspension, or cancellation decisions made in relation to the student’s enrolment - Or any other conclusion / decision that is made after a complaint has been dealt with by IWP Training in the first instance. • To activate the appeals, process the complainant is to complete a ‘Complaints and Appeals Form’ which is to include a summary of the grounds the appeal is based upon. The reason the complainant feels the decision is unfair is to be clearly explained and help and support with this process can be gained from Student Administration. • The complainant shall be notified in writing that their appeal has been received and registered with IWP Training. • IWP Training CEO shall then determine the validity of the appeal and organise a meeting with all parties involved in the matter and attempt to seek resolution where appropriate. • The process for all formally lodged appeals will begin within 24 hours of the appeal being lodged. • IWP Training CEO shall ensure IWP Training acts on any substantiated appeal. • Where an appeal has been lodged it will be defined into one of the following categories and the appropriate procedures followed

Assessment appeals

• Where a student wishes to appeal an assessment, they are required to notify their Trainer/assessor in the first instance. • Where appropriate the Trainer/assessor may decide to re-assess the student to ensure a fair and equitable decision is gained. The Trainer/assessor shall complete a written report regarding the re-assessment outlining the reasons why assessment was or was not granted. • If this is still not to the student’s satisfaction, the student shall formally lodge an appeal by submitting a written letter outlining their reasons for the appeal and lodge this with IWP Training administration and the appeal shall be entered into the ‘Complaints and Appeals Register.’ - The IWP Training CEO shall be notified and shall seek details from the Trainer/assessor involved and any other relevant parties.

• A decision shall be made regarding the appeal either indicating the assessment decision stands or details of a possible re-assessment by a ‘third party’. The third party shall be another Trainer/assessor appointed by IWP Training. • The student shall be notified in writing of the outcome with reasons for the decision, and the ‘Complaints and Appeals Register’ updated. • The student shall also be provided the option of activating the external appeals process if they are not satisfied with the outcome. The student is required to notify IWP Training if they wish to proceed with the external appeals process.

External (Independent) Appeals:

In addition to the above internal processes, if the processes fail to resolve the complaint or appeal, or the complainant is still dissatisfied with the decision of IWP Training:

• An application with an independent and external dispute resolution body can be submitted to allow for any decisions made by IWP Training in relation to the complaints and / or appeals process to be reviewed independently of IWP Training. (See below for contact details). • It should also be noted that any appeals relating to IWP Training will automatically be dealt with by this external and independent mediator in the first instance of the complaint being received. Where IWP Training is informed that the student has accessed external appeals processes: • IWP Training will maintain a student’s enrolment until the external appeal process is finalised. • IWP Training will comply with the findings of the external appeals process. • Where a decision or outcome is in favour of the complainant, IWP Training shall follow the required action and recommendation from the relevant external appeals organisation to satisfy the student’s grievance as soon as practicable. • The decision of the independent mediator is final and any further action the student wishes to take is outside IWP Training policies and procedures. • Students wishing to take further action shall be referred to the appropriate government agencies and this information can be gained from IWP Training administration. • All records and correspondence in relation to an external appeal shall be maintained with the initial complaint and internal appeal documentation within the ‘Complaints and Appeals Register’ and the student file for a minimum of 5 years

Refund Policy

This policy/procedure provides all staff and management information on the refund arrangements that are in place within IWP Training. The following procedure ensures all students are treated fairly with integrity when applying for refunds.

All refunds applications are to be submitted to IWP Training management, and the following procedures followed in assessing the refund application. All refund information is to be made available to students, employers prior to enrolment through:

• Students’ information handbook • IWP Training website • Course enrolment form which is completed and signed prior to acceptance into the course.

Refund applications

Procedure

Any student wishing to apply for a refund must complete a ‘Refund Application Form’ and submit this form to Student Administration. The application form can be accessed by:

• Contacting Student Administration • Accessing the RTO’s website • All refund applications are to be assessed by the RTO Manager and applications processed within 24 hours of the application being placed. Where a student is entitled to a refund IWP Training will process the refund payment as required. • Payment of a refund application cancels a student’s enrolment. • Training/assessment refunds are to be paid via electronic funds transfer using the authorised bank account nominated by the student on the Refund Application Form, and information about the refund added to the Refund Register. • Students must be informed in writing if a request for refund has been rejected / accepted by IWP Training.

Please note: Where the student/employer breaches the IWP Training Policies and Procedures no refund is payable.

Refunds due to non-delivery of course by IWP Training

• Training/assessment fees are to be refunded in full if IWP Training is unable to commence the course as agreed due to unforeseen circumstances. • Any ‘unused training/assessment’ fees are to be refunded where IWP Training is unable to complete the course due to unforeseen circumstances. • Where there is an instance of provider default in the above circumstances, IWP Training may arrange for another course, or part of a course, to be provided to students at no (extra) cost to the student/employer as an alternative to refunding course money.

Refunds based upon student application

• Applications for refunds are to be processed by the RTO Manager within 48 hours from the date of course commencement. • Where a student is unable to complete their course, they may be eligible for a refund of training/assessment fees. • Where a student withdraws from the course without justifying circumstances only a partial refund is payable. • A refund of training/assessment fees is only payable in certain circumstances, and these circumstances and amounts are provided to students prior to confirming enrolment.

Students may have extenuating circumstances that prevent them from attending scheduled course dates that may include but are not limited to illness, family or personal matters, or other reasons that are out of the ordinary.

Where evidence can be successfully provided to support the student’s circumstances, course fees may either be transferred to the next available course where applicable, or a refund of unused course fees will be issued.

This decision of assessing the extenuating circumstances rests with IWP Training CEO and shall be assessed on a case-by-case situation.

Appealing Refund decisions

All students/employers have the right to appeal a refund decision made by IWP Training by accessing the Complaints and Appeals Policy and Procedure Document ID: IWP026.

This policy and the availability of complaints and appeals processes, does not remove the students/employers right to act under Australia’s consumer protection laws,

IWP Training dispute resolution processes do not remove the students/employers right to pursue other legal remedies where they feel necessary.

**LLN Policy **

Purpose

This Policy and procedure outlines the comprehensive process that IWP Training will undertake in identifying, supporting and appropriately addressing the needs of students who are enrolled in courses at IWP Training and who may have issues or concerns regarding their language, literacy and numeracy skills and abilities and ensuring IWP Training legal and ethical practices are maintained within our enrolment processes.

Scope

This Policy and Procedures apply to all IWP Training students enrolled in a course as well a staff and trainers/assessors responsible for providing students with the necessary, relevant, and appropriate support along with services required to help them achieve their academic and career goals during their time at IWP Training.

Policy

All courses offered by IWP Training are delivered exclusively in English. Therefore, it is essential for students enrolling at IWP Training to possess the necessary English language skills, along with the required literacy and numeracy competencies.

These skills must be sufficient to successfully undertake and complete the assigned training and assessment activities at the required Vocational Education and Training (VET) level, as outlined in the Australian Qualifications Framework (AQF) and detailed in the relevant Training Package for their enrolled course.

To achieve this IWP Training will:

• When Identifying the recommended LLN level for each course is based on the Australian Core Skills Framework (ACSF) – All courses offered by IWP Training requires students to have an Australian Core Skills Framework (ACSF) - level 2 - 3, • Provide students with access to LLN Robot to undertake Language, Literacy and numeracy (LLN) assessments. • The LLN Robot is supported by sending students pre course short written comprehension test, using content from the course. • The results from LLN Robot and short written comprehension test are used by IWP Training staff to make an informed decisions about the suitability for the competency prospective students are planning to undertake. • The results from LLN Robot and short written comprehension test are used by IWP Training staff to develop students Individual Learning Support Plan (ILSP) • IWP Training inform prospective students the results of them prior to an enrolment LLN assessments and what type of students Individual Learning Support Plan (ILSP)

Many prospective or enrolled students may experience difficulties in meeting the required LLN Australian Core Skills Framework (ACSF) - level 2 - 3 for a course due to:

• language and or cultural barriers e.g., non-English speaking background • limited skills in writing or reading • A hearing, sight or speech impairment • A learning disability.

In this case IWP Training will apply reasonable adjustment to assist student achieve their competency.

Examples of reasonable adjustment.

• Provide pre course study material in English or translated to students first language • Provide learning material translated to students first language • Provide one on one training and assessment • Allow student to complete Knowledge assessment verbally • Allowing additional time to complete training and assessment performance and knowledge tasks • Use visual aids in training. • Provide portable steps to access equipment • Self-paced and self-monitored learning tools • Tailored group workshops • Online or face to face tutorial support

Procedure

Student Responsibilities

It is the responsibility of the prospective or enrolled student to:

• Complete pre-enrolment LLN Robot and short written comprehension test in a timely manner • Reveal any information about their LLN needs, as part of the enrolment process. • Inform their trainer of any LLN concerns during their progress throughout the course so learning support, if required, may be provided. • Agree to an Individual Learning Support Plan if learning support is required and adhere to the requirements of the Individual Learning Support Plan (ILSP) .

IWP Training Responsibilities as an RTO

In fulfilling its role in providing vocational education and training (VET) programs, IWP Training has a key responsibility in offering comprehensive LLN support to its students where LLN skill needs have been identified and impacts on their ability to successfully complete their course.

Through its commitment to accessibility and inclusivity, IWP Training ensures its courses cater for students with diverse LLN skill needs by:

• Having students complete pre course LLN assessment by way of LLN Robot and short written comprehension test prior to the commencement of their course. • Informing students of the results of their LLN assessment and where required provide learning support throughout their course to address the identified LLN skill needs. • Employing qualified trainers/assessors who possess the skills in addressing student LLN skill needs by way of LLN learning support strategies. • Having a Learning Support Plan to provide additional LLN learning support to students with identified LLN skill needs. • Developing Individual Learning Support Plans in consultation with trainer/assessor and student requiring additional LLN learning support. • Fostering a supportive learning environment and promoting inclusivity, IWP Training aims to empower students to successfully achieve in their studies.

Trainer/assessor Responsibilities

All IWP Training trainers/assessors have the responsibility for identifying and supporting the LLN skill needs of their students. Trainers/assessors are required to:

• Review each student’s LLN assessment results prior to commencing delivery of their course. • Identify any student whose LLN assessment result may require learning support strategies. • Identify any student during the delivery of the course who is demonstrating an LLN skill need and may require learning support strategies.

In response to a student’s LLN assessment result or if identified by the trainer during delivery of the course a student has a LLN skill need trainers are to:

• Discuss with the student their LLN skill needs and what learning support strategies would benefit them or what is available to them. • Discuss any concerns regarding a student’s LLN skill needs with IWP Training CEO. • The student may require the development of an Individual Learning Support Plan (ILSP). • Work with IWP Training trainers/assessors and CEO in the development of an Individual Learning Support Plan for identified students with LLN skill needs. • Monitor the progress of students to determine if they are improving and progressing with their Individual Learning Support Plan and overall course work. • Maintain currency with the requirements of the TAE Training Package and complete any upgrades and/or professional development in relation to LLN and learning support strategies.

IWP Training staff Responsibilities

IWP Training staff play a crucial role in providing comprehensive LLN support to students. Their responsibilities include:

• Working with the trainers/assessors to review LLN assessments before training begins or during the delivery of training to ensure trainers/assessors are aware of student LLN skill levels and can support the student. • Proactively discussing identified student LLN skill needs with each student and the Trainers/assessors to develop an Individual Learning Support Plan prior to the student enrolling, or during their progress in the course. • Work with the student in meeting the requirements of the Individual Learning Support Plan. • Monitoring and providing feedback to trainers/assessors on student progress throughout their LLN support journey.

LLN Assessment Overview

For each prospective student who meets eligibility criteria for enrolment with IWP Training, a Pre-enrolment LLN assessment is conducted to ascertain the reading, writing, numeracy, and oral communication levels of the student in line with Australian Skills Core Framework levels.

IWP Training use two Pre-enrolment LLN assessment systems to identify students (ACSF) – level

• Pre-enrolment LLN Robot online system • Pre-enrolment short written comprehension test, using content from the training

Conducting the LLN Assessment

• Prospective student enquires about a competency through website, phone or other modes of marketing. • Competency information is provided to the prospective student through website or on the request by the individual via email. • Upon completion of mandatory pre course LLN assessments by way of LLN Robot and a short-written comprehension test prior to the commencement of their course IWP Training staff will make an informed decision if the student has the required ACSF level to achieve competency.

In the event the prospective student meets the ACSF entry requirements, and they accept the offer of enrolment with IWP Training, the completed pre course LLN assessment tool along with a copy of the emailed results are to be kept on file for the sake of compliance.

In the event potential learner does not meet the ACSF entry levels and the offer for enrolment with conditions cannot be granted, the completed assessment and results are to be kept on file.

If the potential learner does not meet the ACSF entry levels and communicates to IWP Training that they wish to peruse enrolment, IWP Training will ask the prospective student to come in and have a face-to-face information session with a IWP Training trainer/assessor to discuss, what reasonable adjustment can be applied to the student Individual Learning Support Plan (ILSP) and how will Individual Learning Support Plan (ILSP) be delivered.

Definitions

LLN Language, Literacy, and Numeracy and refers to the foundational skills needed to complete a course.
